Hotel Booking Terms & Conditions

These Terms & Conditions govern hotel bookings arranged through the organizer (“the Organizer”) for the event. By confirming your booking and making payment, you agree to be bound by the following conditions:

1. Scope of Service

1.1 Hotel bookings are made per room and include the following:

• Accommodation at the designated hotel.
• Round-trip airport transfers.
• Daily transfers to and from the competition venue.

1.2 Any additional services outside the scope above shall be the responsibility of the guest and may incur extra charges.

2. Flight Information Requirement

2.1 Guests must provide accurate and complete flight details (arrival and departure) at the time of booking.

2.2 The Organizer shall not be held responsible for:

• Missed transfers or delays caused by incorrect or incomplete flight details provided by the guest.
• Additional costs arising from schedule changes, late arrivals, or missed connections due to guest error.

3. Payment Terms

3.1 Full payment is required at the time of booking to secure your reservation.

3.2 Bookings will not be confirmed until payment has been received in full.

4. Cancellation & Refund Policy

4.1 If a booking is canceled after payment, only 80% of the total payment will be refunded.

4.2 The remaining 20% is non-refundable, as it covers administrative, processing, and operational costs already incurred.

4.3 Refunds will be processed within a reasonable timeframe after receiving a valid cancellation request.

4.4 All refunds will be made in Thai Baht (THB) and paid in cash, based on the current exchange rate at the time of refund. Refunds can be collected from the organizing committee during check-in, when receiving the room key.

5. Responsibilities of the Guest

5.1 Guests are responsible for ensuring that all personal details, including flight information, are accurate at the time of booking.

5.2 Guests must comply with hotel policies, including check-in/check-out times and house rules.

5.3 Any damage caused to hotel property or transportation facilities by the guest will be the sole responsibility of the guest.

6. Limitation of Liability

6.1 The Organizer shall not be liable for delays, cancellations, or service disruptions due to force majeure events, including but not limited to natural disasters, flight cancellations, strikes, or government restrictions.

6.2 The Organizer’s liability shall in all cases be limited to the amount paid by the guest for the booking.

7. Governing Law

7.1 These Terms & Conditions shall be governed by and construed in accordance with the laws of Thailand.

7.2 Any disputes arising out of or in connection with these Terms & Conditions shall be subject to the exclusive jurisdiction of the courts of Thailand.
